Anatomy of a crew change

A typical crew change in a Dutch port involves four transport legs over 24 to 36 hours: collect the joining crew from Schiphol, take them to a hotel near the port, deliver them to the quay before the reporting time, and take the departing crew from the quay to a hotel or straight to the airport. Each leg depends on the one before it, and all of them depend on when the vessel is actually alongside.

Planning them separately is how crew changes go wrong. We take the whole sequence at booking, keep it under one reference, and adjust the later legs automatically when the vessel or the flight moves.

Information that makes a crew change run smoothly

• Vessel name, berth or terminal, and the ship's agent contact details
• Reporting time on board and the latest possible arrival at the quay
• Flight numbers for the joining crew and for the departing crew's onward flights
• Passenger names, nationalities and the number of bags per person
• Hotel name and whether rooms are already booked and paid
• Project reference, vessel code or cost centre for invoicing

Rest hours and realistic scheduling

Crews joining a vessel are subject to rest hour rules, and a crew that spends four hours in a minibus after a fourteen hour flight is not fit to start a watch. Where the timing allows, we recommend an overnight stop near the port rather than a direct airport-to-quay run, and we plan the morning transfer so the crew arrives rested but not hours early.

When the vessel moves

Vessel schedules slip. A pilot delay, a lock cycle at IJmuiden, weather in the southern North Sea, and suddenly the crew change is six hours later.
